Below are recommendations for an AIS Community Nominations and Elections Committee scope of work. 

Scope

The Nominations and Elections Committee (NEC) will assist the NEC Chair (Past-President or President designee) in addressing election matters of the community. It shall focus on the following areas:

• Ensure compliance with nomination and election processes addressed in the AIS or community’s bylaws
• Verify and present candidates
• Lead information dissemination campaigns for elections

The tasks associated with the areas outlined above include:

• Recruit and offer to the committee chair a list of nominees for each position to be elected by the community.
• Draft email copy in conjunction with the Secretary of the community. Examples of emails include:
  • Collection and appropriate editing of candidate bios and/or platforms
  • Announcement that elections are open
  • Reminders to vote
  • Election results

• Personally encourage and recruit members of the community to fill a position
• Personally encourage members of the community to vote
• Assist in the review and processing of complaints about the election process
• Review and follow community bylaw requirements

Membership in the Committee

• Not less than 3 members (including the chair)
• Committee members must be an AIS member with an active (paid) membership
• Must be a member of your community in good standing
• Must not be in consideration for an elected position
• Communities are encouraged to recruitment committee members outside of current officer and directors.

Terms of Appointment

• Committee members may be appointed as needed and will serve until the election results are announced for a given election cycle. Committee members may be reappointed by the chair for up to three election cycles.  They can be reappointed for additional service after they have not participated on the nominating committee for at least two years.
• The Chair shall serve a one-year term with reappointment permissible for up to three years of consecutive service. They can be reappointed for additional service after they have not participated on the nominating committee for at least two years.
